During the dictation process, users can review visit, patient and charge data while following the selected work type template items. Upon completion, the file is wirelessly transmitted for transcription.

Professional Charge Capture solution, MedAptus’ Dictation offering leverages schedule data and rounding lists to provide patient pick-lists. Once a patient charge has been captured, dictation can commence from the charge record, with a single tap of the stylus.
Physicians can choose from a list of over 20 work types, including clinic notes, consult requests, letters, operative reports and radiology/oncology notes. Each work type has an associated template displaying its specific component pieces to aid clinicians as they dictate. In addition, relevant patient data is simultaneously viewable on-screen.
Large on-screen buttons permit users to record, edit, rewind, fast-forward, play and pause dictations. The “Stat” feature alerts the transcription system or team that a dictation should be handled in an urgent fashion while the “Hold” feature retains a file on the device for later editing.

How it Works
Once a work type has been selected for a patient, the dictation process begins. Relevant template and patient demographic and encounter data are viewable on-screen, helping providers dictate accurately. Recordings can be stored and edited until satisfactory. Once completed, files are encrypted to maintain patient data privacy.
Files are then transmitted to the practice transcription system or service wirelessly (these transmissions are also encrypted). Each file is accompanied by a header that identifies the provider, patient, work type, customer, date of service, recording time, and priority. This data helps reduce transcription errors, saving administrative staff and clinician’s valuable time.
The Dictation system includes a reconciliation feature that shows all captured dictations – this report can be reviewed on-screen, or exported for comparison against the transcription system. In either case, this unique mechanism ensures all patient visits have been appropriately documented.
