MedAptus, Inc. | Solutions | Facility Charge Capture
Utilized by clinical staff to capture technical charges at the point-of-care, MedAptus’ Facility Charge Capture was designed to provide hospital-based ambulatory clinics with complete control of their technical charge capture and reconciliation processes.

Benefits - The creation of Facility Charge Capture resulted from the application of MedAptus’ revenue cycle expertise to the area of ambulatory technical charge coding and billing. Usage of Facility Charge Capture streamlines hospital clinic workflow and yields enhanced revenue - in a similar fashion to how our Professional Charge Capture aids physician groups.

Select Features - Facility Charge Capture is a sophisticated yet easy-to-use tool that helps clinicians capture services provided to patients. Key features include pre-populated selection screens for services rendered, support for a team approach to care delivery, and integration with the hospital Charge Data Master (CDM).

How it Works - The system provides intuitively designed screens from which clinicians can select activities, procedures, supplies, and/or medications that were provided during a visit. The options presented are tightly integrated with the CDM, making sure that items selected match contracted services. Strong administrative tools are also available to ensure all visits are properly charged.

System Extensions - In addition to the base system, optional modules are available that extend the value of Facility Charge Capture. The Cross Reconciliation Engine checks for potential missing charges by comparing professional and facility charges and highlighting any discrepancies. The Infusion Services Module allows for easy capture of infusion treatments and properly codes these complex procedures.

The Bottom Line
As outpatient services become increasingly important to the health of a hospital, accurate and timely charge capture will prove critical to maintaining a balanced financial picture. MedAptus’ Facility Charge Capture is the only available offering designed to help outpatient clinics identify and reconcile facility-related charges against physician services to ensure complete and compliant billing.

Benefits
  • Rapid, intuitive charge capture at care delivery
  • Complete back-office automation of the reconciliation process
  • Seamless integration with the hospital CDM
  • Increased capture of revenue for items that can easily be overlooked by busy staff in high patient volume settings
Without a tool to manage and reconcile technical charge opportunities, hospital-based ambulatory clinics run the risk of lost revenue as a result of missed charges, missed filing date deadlines, a multitude of staff handoffs, suboptimal linkage of billing forms to the CDM, and disparate intradepartmental processes.

Facility Charge Capture is a workstation- or Tablet PC-based solution. Adoption of the application eliminates the overhead of paper-based encounter forms management, including related data-entry expenses, greatly improving back-office efficiency and reducing days in A/R. Another benefit of the system is rapid propagation of relevant CDM changes to the point-of-care; without an automated solution in place to manage this process, it can be highly inefficient.

How it Works
Facility Charge Capture is interfaced directly with the clinic’s practice management system to derive scheduling data. System users, typically nurses or practice assistants, access the clinic schedule showing both charged and uncharged patients; any diagnoses and professional procedures previously entered will also be present.

Facilities utilization, procedures, materials and medications are entered; the appropriate visit level is automatically calculated based on selected entries. Upon completion of the charge, a rules engine assesses the entered data for completeness and consistency. If an error is found, the user is alerted and given guidance for correction.

All entered charges are available for reconciliation via a real-time dashboard used by administrative staff to review, edit and approve charges. This dashboard additionally has the ability to generate a number of reports on an ad hoc basis as well as a variety of system administration tools aimed at easing code organization and selection as well as CDM updating.

System Extensions
MedAptus realizes that the institutions most likely to benefit from a facility coding and billing solution may have needs around specialized services that demand unique workflow and/or unique data entry needs. Infusion services, cardiac catheterization, and dialysis are just a few examples of specialized modules that MedAptus feels are of benefit to hospitals seeking to fully manage their revenue cycles in respect to high-volume, high-material offerings.

For institutions with a professional charge capture solution already in place, the Cross Reconciliation Engine can be added-on to Facility Charge Capture to identify overlooked revenue opportunities on either side.
