Workflow Manager is a fully integrated component of all versions – handheld, Tablet PC and workstation – of the
MedAptus Professional Charge Capture system. The application essentially functions as the hub of Professional Charge Capture, managing inbound scheduling and hospital data, providing reconciliation ability for appointments and admissions as well as charge review functionality, serving as a messaging platform between clinician MedAptus users and administrative staff, and supporting outbound charge management for billing.
Beyond providing for robust management of information, Workflow Manager is used to create and maintain clinician coding shortcuts, manage user rights and system administration activities, and execute reports, provided Decision Support is installed.
Workflow Manager also serves as the MedAptus data repository – any and all data collected and/or managed via MedAptus from day one of system deployment remains accessible over the duration of system usage. This includes demographic, visit, patient and charge data.

How it Works
Data from a group’s practice management and/or a hospital scheduling system, flows into Workflow Manager as it also flows to the clinician’s Charge Capture application. As charges are entered and saved, Workflow Manager receives this information and simultaneously assesses it for coding compliance.
Depending on practice workflow and policy, charges may be placed in a holding bucket or may be queued for transmission to the practice billing system. Workflow Manager users, typically coders and billers, review charges and encounters as needed for appropriateness. Any issues can be directly communicated to rendering clinicians, or else they can be addressed directly by coding staff.
As charges are rendered, the master charge reconciliation screen adjusts accordingly, providing an accurate view of any outstanding charge activity. Clean charges are typically batched and sent for billing directly from Workflow Manager on a nightly basis, although some groups choose to do this in real-time for an optimized revenue cycle.
